Wedding Staffing in Charleston, Without the Gamble

If you are staffing a wedding venue, banquet hall, or reception in Charleston, here is our promise in plain language: trained servers and bartenders, a TWF captain running the floor, rosters confirmed before noon, and a written quote before anything is booked. Event servers and crew bill $55 an hour, bartenders $75, a banquet captain $105 - see the full rate breakdown.

Tell us the date, headcount, and venue. We respond within 2 hours.

Straight answers

What people actually ask before they book

These are the six questions we get most from event hosts, planners and property managers in Charleston. Answered here so you do not have to call to find out.

For a buffet reception at 200 guests we would staff 1 captain, 8 servers and 2 bartenders. Eleven people, or nine if you are not serving a bar.

The common mistake is assuming a buffet needs fewer staff because guests serve themselves. The food line is the easy part. What decides whether a room feels tended is bussing and clearing, and that runs about one server per 25 guests. At 200 you also want two buffet lines rather than one, or your last guest eats forty minutes after your first.

GuestsServersBarLeadership

1004 servers2 bartenders1 captain
1506 servers2 bartenders1 captain
2008 servers2 to 3 bartenders1 captain
30012 servers3 to 4 bartenders2 captains

Plated service needs roughly a third more servers than buffet. Tell us the service style and we will size it exactly.

Event servers and crew bill $55 per hour in Charleston, SC, bartenders $75 and a banquet captain $105. What varies is the shape of the team and how much lead time we have. That covers servers, bartenders, barbacks, runners, bussers and setup crews.

Captains, floor supervisors and senior leadership bill above that range and are quoted per engagement, because they are running your floor rather than working a station.

We pay well above typical local hotel rates for this work, which is why our people show up and stay. That is deliberate, and it is why they show up and stay.

Take the team above and do the arithmetic in the open. Ten crew over a six hour call at $55 an hour is $3,300, with the captain quoted separately on top.

Where you land inside that range depends on the day of the week, the season, the service style and your lead time. A Tuesday corporate lunch and a Saturday gala are different jobs and they price differently.

You get an exact number in writing before anything is booked. We do not ask anyone to commit to a range.

Recruiting, training, professional TWF uniforms, a pre-shift briefing, an on-site captain on every full team, backfill from our bench when someone drops, and a written shift report your manager signs off on.

The captain is the part most staffing companies leave out. If you have a wedding coordinator or a banquet manager, they should be running the event, not directing nine individual strangers. Our captain runs our staff and reports to your lead. One point of contact, start to finish.

No hidden fees, and that word matters. Everything is priced on the quote before you commit.

Inside our seven markets, Greenville NC, Raleigh, Charlotte, Charleston, Columbia, Atlanta and Savannah, there is no travel charge. Your crew is local.

If your event sits outside those markets and we deploy a captain to run your floor, that mobilization is a named line on your quote from the start at $250. It is never a surprise on your invoice.

There is no administrative fee, no service charge and no fuel surcharge. If the scope changes, the price change is agreed in writing first.

Every inquiry is answered by a person within 2 hours. For planned events, the more lead time we have the better the rate and the deeper the bench we can assign.

For same-day and next-day coverage we run an emergency line with deployment inside 90 minutes in our covered markets. Tell us the date, the headcount and the venue and you will have a clear next step the same day.

Staffing ratios are our recommendations for buffet service and are a starting point, not a rule. Rates are billed ranges for standard trained roles and vary by market, event size and lead time. Your exact quote is issued in writing before anything is booked.

What Actually Goes Wrong
Almost nothing that spoils a reception is a food problem

It is a timing problem, and timing is a staffing question. Here is what we plan for at a Charleston wedding, in the order it tends to happen.

The night runs longer than the contract

This is the one nobody plans for. The timeline says the reception ends at ten. At ten the dance floor is full, the bar is busy, and nobody is leaving. Every hour past the contract is a decision someone has to make at eleven at night, usually the couple, usually badly. We plan the tail end before the day: what an extension costs, who authorises it, and which of our team stay. It is agreed in writing beforehand so nobody is negotiating during your last dance.

More guests arrive than the count you gave

Plus-ones show up. Vendors eat. The count you gave the caterer in June is not the count in the room in July. Staffing built to the guarantee is staffing built to a number that is almost always low. We build to the guarantee and hold a bench, so ten extra guests is a phone call and not a shortage on the floor.

Guests eat all night, not in one service window

A modern reception is not one dinner service. People graze, come back, come back again, and the kitchen closes long before the appetite does. A team scheduled for one clean dinner push is standing down exactly when the second wave starts. We staff the shape of the night, not the shape of the timeline.

The flip

Ceremony space becomes reception space in twenty minutes while your guests hold drinks somewhere else. It is won or lost on how many hands were scheduled for that exact window, not for the whole night, and on somebody owning the clock. Our captain assigns the flip by zone before anyone arrives.

Nobody is running the service team

Your planner runs your wedding. Someone still has to run the people carrying plates. Without that, every question routes to your planner, and your planner is with you. A captain comes with every deployment and reports to your coordinator. That is the role most staffing companies do not send.

The person who does not show

Event staffing has a chronic reliability problem, and most firms manage it by asking you to over-schedule. We do not. Backfill is our problem, not a line on your invoice. The number on the quote is the number on the floor.

Insured, and provable in 24 hours

Multi-million dollar general and liquor liability, with an additional-insured certificate issued in 24 hours or less. Most venues need 21 to 30 days notice from a vendor. If your venue needs paperwork, it is not going to be us holding up your file.

Certified where the law requires it

South Carolina has required alcohol server certification since January 2026, enforced since March, with certificates producible to the state on request. Ours are current in every state we operate in.

Ninety-minute emergency deployment

When someone calls out on the day, we can be on site in ninety minutes in our covered markets, at our standard rate. There is no panic surcharge.

Where You Are Getting Married
Charleston Wedding Venues, and What Each One Asks of a Team

A ballroom, a barn and an 18th-century house are three different staffing problems. Below is how we plan for the rooms couples in Charleston actually book. Tell us your venue and we will tell you the team it takes.

01

William Aiken House

Historic house. Downtown historic house with courtyard and ballroom. Guests move between spaces during the night, so bar coverage shifts with them.

02

The Gadsden House

Historic house. Courtyard-centred property. Weather contingency is a staffing plan, not just a tent order.

03

Governor Thomas Bennett House

Historic house. Period house with lawn ceremony space. Load-in is constrained by the historic structure.

04

Gibbes Museum of Art

Museum. Museum rules govern food and beverage placement. Staff brief on collection protection before service.

05

Lowndes Grove

Waterfront estate. Ashley River frontage with an expansive lawn and piazza. Open-air service means wind planning for linens and light barware.

06

Boone Hall

Historic property. The Cotton Dock is an open-air waterfront structure. Long runs between kitchen staging and service points require dedicated runners.

07

Magnolia Gardens

Historic property. Ceremony and reception spaces are spread across large grounds. Transport time between stations is built into the service timeline.

08

Middleton Place

Historic property. Large grounds with multiple event areas. Staff assignments are fixed to zones to avoid coverage gaps.
