It is a timing problem, and timing is a staffing question. Here is what we plan for at a Savannah wedding, in the order it tends to happen.
This is the one nobody plans for. The timeline says the reception ends at ten. At ten the dance floor is full, the bar is busy, and nobody is leaving. Every hour past the contract is a decision someone has to make at eleven at night, usually the couple, usually badly. We plan the tail end before the day: what an extension costs, who authorises it, and which of our team stay. It is agreed in writing beforehand so nobody is negotiating during your last dance.
Plus-ones show up. Vendors eat. The count you gave the caterer in June is not the count in the room in July. Staffing built to the guarantee is staffing built to a number that is almost always low. We build to the guarantee and hold a bench, so ten extra guests is a phone call and not a shortage on the floor.
A modern reception is not one dinner service. People graze, come back, come back again, and the kitchen closes long before the appetite does. A team scheduled for one clean dinner push is standing down exactly when the second wave starts. We staff the shape of the night, not the shape of the timeline.
